A catalog groups the products your sales team can sell in a given context. You can set validity dates, link products, see the pricebooks built on the catalog, and track where it is used. This guide walks you through creating your first catalog and configuring its core settings.

Prerequisites

You need a role with write access to Products & Pricing (for example, the system role admin).

Access the catalog screen

Open Products & pricing

In the left sidebar, click Products & pricing.

Open Catalog

Click Catalog to view the catalog list.

Create a new catalog

Click New catalog.

Configure general information

Name your catalog

Enter a Name that describes the catalog’s purpose, such as France Catalog or Premium Catalog.

Add a reference

Enter an internal Reference to identify the catalog in reports and integrations.

Set validity dates (optional)

Set Valid From and Valid To if the catalog applies to a specific period. Leave them blank for a permanent catalog.
Validity dates are useful for seasonal catalogs or time-limited offers.

Add products to the catalog

Open the product selection

In the Products linked section, click Manage products.

Select products

Search and select the products to associate with this catalog, then click Confirm. Each linked product shows its name, variant, reference, type (One-off or Recurring), and price.
To add many products at once, use the CSV import in Settings › Data › Import & Export (resource Products). See Import products.

Configure external identifiers

If you integrate Qwoty with external systems, fill in the IDs section:
  • CRM ID: catalog identifier in your CRM
  • ERP ID: identifier in your ERP system
  • Accounting ID: identifier in your accounting software

Set catalog status

In the right-hand panel:
  1. Set Status to Active to make the catalog available in templates and quotes
  2. Review the API Name (technical identifier)
The API Name can only be set at creation. Once saved, it can’t be changed, to keep integrations stable.

Save your catalog

Click Save to create the catalog.

What happens next

Once saved, your catalog can be selected in quote templates. Pricebooks built on this catalog appear in Pricebooks linked, and the Catalog used in block lists the customers and segments that use it.

Troubleshooting

You need write access to Products & Pricing. Ask your Qwoty administrator to check your role in Settings › Role.
The standard catalog created with your workspace can’t be edited this way. Create a new catalog for your own product selection.
Yes. Open the catalog, click Manage products, update the selection, and click Save.
