Overview

Qwoty sends email notifications for several events in the quote lifecycle: when you share a quote with your client by email, for automatic reminders, for approval requests and decisions, and during the signature process. If you or your client aren’t receiving these emails, the cause is almost always the same: the email was delivered but landed in a spam or junk folder, or it was blocked by a mail server, firewall, or email security filter before it reached the inbox. This applies whether you’re the one who sent the quote or the one waiting to receive it.
Email delivery can take a few minutes. Before troubleshooting further, wait 10–15 minutes after the action was triggered (publish, send to signature, etc.).
This guide is split by audience. Find the section that matches your situation.

Check the quote status first

Before assuming it’s a delivery issue, confirm the quote actually triggered an email.
  1. Open the quote at /project/quote/[id].
  2. Check its status. A quote still in Draft or Pending approval hasn’t been sent to the client yet. The client only receives an email when you click Share and send the quote with Send quote by email in the Share Dealroom tab.
  3. Open the Email tracking panel in the quote sidebar. For each participant, it shows the status of the email: Sent, Delivered, Received, Clicked, Bounced, or Failed. See Email tracking.
If the quote is still in Draft, or if you only copied the link from the Get link tab, no email was sent. Share it with Send quote by email. See Publish a quote to the DealRoom.
If the status is Bounced or Failed, the client’s mail server rejected the email or the address is wrong: check the address first.

Verify the client’s email address

A mistyped or outdated address is one of the most common causes of “missing” emails.
  1. Go to the customer’s record at /customer/customer/[id].
  2. Confirm the contact’s email address matches what the client expects to use.
  3. If it’s incorrect, update it, then share the quote again from the quote with Share.

Ask your client to check spam and allowlist Qwoty

If the address is correct and the quote is published, ask your client to:
  • Check their spam or junk folder for an email from Qwoty.
  • Mark it as “not spam” if found, so future emails land in the inbox.
  • Add Qwoty’s sending domains to their safe senders list (see Allowlist Qwoty’s sending domains below).
As a workaround, share the DealRoom link directly with your client: in the quote, click Share, open the Get link tab, and copy the link. You can also open the Dealroom from the quote list with Open dealroom in the row menu.

Still not resolved?

If the address is correct, the quote is published, and your client has checked spam without success, ask your client’s IT team to investigate further using the allowlist section below, or contact Qwoty support.

Allowlist Qwoty’s sending domains

Qwoty sends notifications from several domains depending on the type of email (quote publication, reminders, signature links). To ensure delivery, allowlist all of the following domains in your email client or ask your IT department to allow them at the mail server level:
Allowlisting the domain (rather than a single sender address) is more reliable, since the exact sending address can vary by notification type.

Common questions

Follow the same spam-folder and allowlist steps described above: your own mail server can filter Qwoty emails the same way a client’s can.
Yes. Open the quote, click Share, and send it again with Send quote by email.
